How to Use Notifications in Hashio

Before you begin:  Notification preferences are set per user and per facility. Each team member will need to configure their own notification settings to start receiving alerts. You can update these preferences at any time.

What are Notifications in Hashio?

Notifications keep you informed about important activity across your facility — like new orders, lab test results, issues logged in the field, low inventory alerts, purchase order updates, and more. You choose which notifications you want to receive and how you want to receive them: as in-app alerts (the bell icon in the top right corner of Hashio), as email alerts sent to your account email, or both.

Notifications are organized into categories such as Inventory, Procurement, Fulfillment, Issues, Compliance, Cultivation, and Worklogs. Some notifications are real-time (triggered the moment something happens, like a new order entering the pipeline) and some are scheduled (checked on a regular cycle, like low inventory alerts). New notification types are added regularly as features expand.


Step 1  Open Your Notification Settings
  1. Click your profile picture in the top right corner of Hashio.
  2. Select Settings from the dropdown menu.
  3. On the Profile Settings page, click the Notifications tab.

You'll see a list of notification categories with toggle switches for each alert type.

Step 2  Select Your Facility

At the top of the Notifications tab, you'll see a Facility dropdown. Make sure the correct facility is selected before configuring your preferences — notification settings are specific to each facility.

Note:  If you work across multiple facilities, you'll need to configure notification preferences for each one separately.
Step 3  Choose Your Notification Preferences

Use the toggle switches on the right side of each row to turn notifications on or off. Most notifications have separate toggles for each delivery method:

In-AppSends the notification to your bell icon inside Hashio. A badge will appear on the bell when you have unread notifications.
EmailSends an email to your account email address with details about the alert. The email includes a direct link back to the relevant page in Hashio.

Some notifications also include filters — like issue types, risk levels, or specific order statuses — so you only get alerts that matter to your role. For any filter, leaving everything unchecked means you'll be notified for all options.

The available notification categories and alert types are listed below. Each alert type is labeled as either Real-time (triggered immediately when the event happens) or Scheduled (checked on a regular cycle).

Inventory

  • Low Inventory (Cannabis) (Scheduled) — Alerts you when cannabis product inventory drops below your configured threshold. Uses a single on/off toggle.
  • Low Inventory (Non-Cannabis) (Scheduled) — Alerts you when non-cannabis product inventory drops below your configured threshold. Uses a single on/off toggle.

Procurement

  • Purchase Order Approval Requested (Real-time) — Notifies you when a purchase order is submitted for approval. Has separate In-App and Email toggles.
  • Purchase Order Approved (Real-time) — Notifies you when a purchase order is approved. Has separate In-App and Email toggles.
  • Purchase Order Denied (Real-time) — Notifies you when a purchase order is denied. Has separate In-App and Email toggles.
  • Purchase Order Modified (Real-time) — Notifies you when an approved purchase order is modified and requires re-approval. Has separate In-App and Email toggles.
Note:  Procurement notifications are sent for all purchase orders at your facility — not just ones where you are listed as an approver. This is useful for teams that want full visibility into purchasing activity.

Fulfillment

  • Order Created (Real-time) — Notifies you when a new order enters the pipeline from any source: manual, LeafLink, or Apex. Has separate In-App and Email toggles.
  • Order Status Changed (Real-time) — Notifies you when an order transitions between statuses. Use the Statuses to notify on checklist to pick the destination statuses you want alerts for. Leave it empty to be notified for every status change.
Tip:  If you only want to know about completed sales, check just the final statuses (like Fulfilled, Shipped, or Delivered). Leadership often subscribes to one or two key statuses while operations leads watch the full pipeline.

Issues

  • Issue Created (Real-time) — Notifies you when a new issue is logged. Filterable by issue type and risk level.
  • Issue Status Changed (Real-time) — Notifies you when an issue transitions between statuses (covers Resolved, Closed, and any other status changes). Filterable by issue type and risk level.

Both Issues notifications include two filter sections:

  • Issue types — Cultivation, Manufacturing, Equipment / Mechanical, Environmental / Facility, Safety, Compliance / Regulatory, Inventory / Packaging, Pest / IPM, Quality Assurance, or Other.
  • Risk levels — Low, Moderate, High, or Critical.
Tip:  Leadership can subscribe to Critical risk level only, while team leads check every level to get the full picture. Leaving all checkboxes empty means you'll be notified for every issue type and risk level.

Compliance

  • Lab Test Results (Real-time) — Notifies you the moment lab test results post for a testing tag. Has separate In-App and Email toggles, plus a Result filter section with a single option: Failing results only. Turn this on to skip passing results and focus on what needs attention.
Step 4  View Your Notifications

Once you've enabled notifications, you'll see them appear in two places:

The Bell Icon (Quick View)

  1. Click the bell icon in the top right corner of Hashio, next to your profile picture.
  2. A dropdown will appear showing your most recent notifications. When you have unread notifications, a numbered badge will appear on the bell icon.
  3. From here, you can click Dismiss to clear an individual notification, click Mark all read to clear the badge, or click View all notifications to open the full notifications page.

Email Alerts

If you enabled email notifications, you'll receive an email for each alert. The email includes the details of the notification and a button that takes you directly to the relevant page in Hashio — for example, a lab test results email links to the testing tag, and a new order email links to the order in the pipeline.

Step 5  Filter and Manage Notifications

To see your full notification history, click View all notifications from the bell icon dropdown. This opens the Notifications page, which shows a count of your total notifications and gives you two ways to filter:

StatusAll statuses, Active, Resolved, or Acknowledged. Active notifications are current and unresolved. Resolved means the underlying issue has been addressed. Acknowledged means you've seen it but it may still need action.
CategoryAll categories, Inventory, Procurement, Fulfillment, Issues, Compliance, Cultivation, or Worklogs. Use this to focus on a specific type of notification.

Each notification on this page shows its title, details, timestamp, category tag, and status badge. You can click Dismiss on any notification to remove it from your active list.

Tip:  We recommend enabling both in-app and email notifications for any alerts that are critical to your daily operations — like new orders, failing lab results, critical issues, and low inventory thresholds. This way, you'll catch important updates even when you're not actively working in Hashio. New notification types are added regularly, so check back in your settings periodically to see what's new.
