Using Workstation Beta — For Supervisors & Admin

Before you begin:  Working Locations, Groups, and Workstation PINs should already be set up for your facility — see the Admin setup guide if any of that still needs to happen.

What this guide covers

Workstation Beta is the shared-tablet experience your team uses on the floor. It's where associates sign in, hash in to batches, log outputs, take breaks, and flag issues — all from one view with the ability to link to a specific area of your facility.

As a supervisor, Workstation Beta gives you a few capabilities beyond what associates see: setting which work shows up at each tablet, monitoring your team from the View Activity page, hashing people in or out in bulk, moving batches between areas, and stepping in when an associate needs help.

This guide walks through each of those capabilities so you know where to find them when you need them.

Step 1  Launch Workstation Beta on the Tablet
  1. In Hashio, navigate to My Facility → Workstation Beta on the tablet that will be used on the floor.
  2. In the top right of the screen, click Select Location. The Select Working Location window will open.
  3. Find the Working Location for the area the tablet is in. You can scroll the list or use the search bar to filter by location name or by the products being made there. Each card shows the number of active batches and workers at that location.
  4. Click Select next to the right location. The tablet will now only show work happening at that location.

Setting a Working Location is optional — you can leave it unset if you'd prefer. Most teams get the most value from this when a tablet is tied to a specific area.

  1. Leave the tablet on the Workstation Beta screen and place it where your team can reach it. Associates will use Quick Access or their PIN to sign in — no need to sign them in manually.
  2. If the tablet gets logged out mid-shift, just repeat the steps above to reopen it. Any active worklogs stay running in the background.
Tip:  We recommend keeping one tablet per Working Location. This keeps sign-in fast, makes Quick Access more useful, and gives you a clean view of each area when you're checking in on the team.

Step 2  Assign Working Locations to Your Batches

Workstation Beta only shows batches and steps that belong to the tablet's Working Location. If a batch isn't showing up where your team is working, it likely needs its location set. You have a few ways to do this:

  1. On the workflow — set a default Working Location for each workflow step. New batches built from that workflow will inherit the location automatically.
  2. On a new batch — choose the Working Location during batch creation. Useful for one-off batches that don't follow a standard workflow. This will show the batch in a certain Working Location and show each workflow step in its respective Working Location.
  3. On an existing batch — open the batch, edit it, and update the Working Location. Use this when the entire batch needs to move areas or its location was missed during creation.
  4. Move Batch — to shift a single batch to a different Working Location mid-work, open the batch and click Move Batch, then select the new location. The batch disappears from the current workstation and appears at the new location's tablet.

Changing the Working Location on an active batch will move it to the new area's workstation — associates at the old tablet will no longer see it but will remain hashed in. If they aren't moving to the new area with the batch, hash them out first.

Step 3  Monitor Your Team from the View Activity Page
  1. From the workstation tablet, open View Activity for the Working Location you're overseeing.
  2. Use the Team tab to see everyone currently signed in, their active worklogs, break status, and hours hashed in for the shift. Click on a name card for additional details.
  3. Use the Batches tab to see every batch currently being worked in this location — step, assigned workers, time on the batch, and any open issues. Click on a batch card for additional details.

Hash In Users and Hash Out All live on this page. The next step walks through when to use each.

Step 4  Bulk Hash Your Team In and Out

Hash In Users and Hash Out All let you move your whole team on or off a batch in one action — a big time-saver when a new batch kicks off or when you're closing things out.

Hash In Users

  1. Click View Activity then Batches, find the batch you want to put the team on and click Hash In Users.
  2. Choose who to hash in:
    • This Location — every associate assigned to this Working Location.
    • All Members — all associates within your facility, regardless of group or working location.
  3. Select the specific people (or hash in everyone shown), confirm, and the batch shows up on each person's Active Worklog banner.

A note on searching for batches outside this location: that option is coming soon. For now, make sure the batch's Working Location matches the tablet before you bulk hash in.

Hash Out All

  1. On the Team tab of View Activity, click Hash Out All.
  2. A list appears showing every associate who is still hashed in, along with the batch they're on.
  3. For each worker, enter their final output for that batch. This is required — Hashio uses it to credit the output to the right person and batch.
  4. Confirm to hash everyone out at once. Each worklog closes, timers stop, and the outputs are saved on the batch.

Hash Out All is also your catch-all if associates forgot to log outputs during their worklog. If an associate already logged a final output before leaving, you can leave their field blank.

Tip:  Bulk hash in keeps timers starting at the same moment, so your hour and output data stays clean. Bulk hash out does the same at the other end.

Step 5  Help an Associate Who's Stuck

A few common things associates will need help with:

  1. Missing from Quick Access — they're not in a Group assigned to this Working Location. Add them to the right Group in My Facility → Groups, or have them sign in with their PIN while you sort it out.
  2. Forgot their PIN — go to My Facility → Team Members, find the associate, and reset or reveal their Workstation PIN. They can also manage their own PIN from their Profile Settings.
  3. Hashed in on the wrong batch — have them hash out and hash in on the right one. If they've already left, you can hash them out from the View Activity page.
  4. Can't find the batch they need — check that the batch's Working Location matches the tablet. See Step 2 to update it.

The View Activity page is your home base — most of what you'll do day-to-day on Workstation Beta happens from there. When in doubt, open it up and the team's status is right in front of you.
