Integrations Guide
Connecting QuickBooks & the Dashboard
| Before you begin: Connecting QuickBooks is a one-time setup that must be done by someone who can log in to your company’s QuickBooks Online account — usually your bookkeeper, accountant, or owner. You’ll also need access to the My Facility area in Hashio. Once the connection is made, anyone with the right permissions can view and sync the data. |
What Is the QuickBooks Integration?
The QuickBooks integration creates a two-way link between Hashio and QuickBooks Online, so you don’t have to enter the same information in two places.
Hashio sends your sales and catalog out to QuickBooks — your customers, invoices, and product items — so your bookkeeping stays up to date automatically.
QuickBooks sends your accounting information back into Hashio — your vendors, chart of accounts, bills, purchases, payments, and journal entries — so you can see costs right alongside your production data.
Setting Up the QuickBooks Integration
| Step 1 Open the Integrations page |
This page lists any integrations you’ve already set up and shows whether each one is enabled. |
| Step 2 Add a new integration |
You may also see LeafLink and Apex Trading in this list — for this guide, choose QuickBooks. |
| Step 3 Grant access and sign in to QuickBooks |
This step requires your QuickBooks password, so it must be completed by someone who can log in to your QuickBooks account. |
| Step 4 Save the integration |
|
| Tip: Only one person needs to complete the setup. Because it requires your QuickBooks login, ask whoever manages your QuickBooks account to do this once — after that, your team can use the integration without signing in again. |
Opening the QuickBooks Dashboard
| Step 1 Open the dashboard |
|
| Step 2 Check that you’re connected |
If you don’t see the Connected badge, repeat the Grant access step above to reconnect. |
Understanding the Dashboard
The dashboard is split into two groups that show which direction your information is flowing.
Outbound (Hashio to QuickBooks) covers what Hashio sends to QuickBooks:
- Customers — your customers, matched to QuickBooks customers
- Invoices — sales invoices pushed to QuickBooks
- Items / Catalog — your products, matched to QuickBooks items
Inbound (QuickBooks to Hashio) covers what QuickBooks sends back to Hashio:
- Vendors — your suppliers from QuickBooks
- Chart of Accounts — your accounts, mapped to Hashio categories
- Bills & Purchases — bills and purchases entered in QuickBooks
- Bill Payments, Customer Payments, and Journal Entries — payment and ledger records from QuickBooks
Each item shows a quick summary (for example, how many records synced and when they last synced), along with a Manage button and a Sync button.
| Tip: The Manage button opens the full tab for that item, where you can view records and set up matching — for example, linking a QuickBooks customer to your Hashio customers. |
Syncing Your Data
Syncing refreshes the information between Hashio and QuickBooks. You can sync one section at a time or everything at once.
| Step 1 Sync one section at a time |
Only that section is updated. The card shows how long ago it was last synced. |
| Step 2 Sync everything at once |
Hashio refreshes every section — both what it sends to QuickBooks and what it pulls back. |
| Step 3 Check the Activity log |
Use this log to confirm your most recent sync finished successfully. |
