How to Bulk Archive Products
| Before you begin: Bulk Archive lets you clean up your product list by archiving many products at once from a CSV file. This only archives products in Hashio — it does not delete or archive items in Metrc. Archived products move from the Cannabis (or Non-Cannabis) tab to the Archived tab, and you can un-archive at any time. |
What is Bulk Archive?
Bulk Archive is a cleanup tool inside the Products page. Instead of archiving one product at a time, you upload a CSV file with a list of product names. Hashio matches those names against your active products, shows you a preview of everything that will be archived, and waits for you to confirm before making any changes.
Once applied, the products move to the Archived tab on the Products page. The action stays on the Bulk Archive history list so you can review it later, and you can un-archive the whole batch with one click if you change your mind.
Prepare your CSV file
Before you start, you'll need a CSV file containing the names of the products you want to archive. A few things to keep in mind as you build your file:
- Include a column with the header Name. It doesn't need to be the first column — Hashio only reads the Name column and ignores the rest.
- List one product per row below the header.
- Save the file as a CSV (Comma-Separated Values). Other file types won't upload.
- Name the file something you'll recognize later, such as Q2 Cleanup List.csv.
| Tip: If you're not sure of the exact product names, export your full product list first so you have something to work from. In Hashio, open the three-dot menu in the top right of the Products page and choose Export Product List. You can also pull a similar list from your Metrc product catalog if that's easier to work from. |
| Step 1 Open the Bulk Archive page |
You'll land on the Bulk Archive products page — your home base for every bulk archive you run. |
| Step 2 Upload your CSV |
Hashio will start matching your file against your products. Large files in Contains mode can take a couple of minutes — you can leave the page and come back, the job will keep running. |
| Step 3 Review the preview | |
Before anything is archived, Hashio shows you a preview of what will change. This is your chance to make sure the right products are on the list. At the top of the preview page you'll see three summary cards:
Scroll down to the To archive section to see a preview list of matched products. Click Browse all on the right to see the full list if you need to spot check.
|
| Step 4 Apply the bulk archive |
When you're ready to make the change, confirm the count and apply. Hashio requires you to type the exact number of products to be archived — this protects you from accidentally archiving the wrong batch.
If the button stays grey, your number doesn't match. Re-check what you typed. You can leave the page while the archive is running — it will keep working in the background. |
| Step 5 Where to find archived products |
After the archive is applied, the products are removed from the Cannabis or Non-Cannabis tab and moved to the Archived tab on the Products page.
Your archived products will appear here. They're out of your active workflow but still on file. |
| Step 6 Un-archive a bulk archive |
If you need to reverse a bulk archive, you can do it in one step from the same job's page. Hashio remembers exactly which products were archived in that batch and restores all of them at once.
|
| Step 7 View bulk archive history | ||||||||||||
The main Bulk Archive page is a running log of every upload, whether it was applied, reverted, or still in preview. Use it to track what was archived, when, and by whom.
Click Open on any row to revisit a job, browse the matched products, or un-archive a batch. |
| Tip: Bulk Archive is a Hashio-only action — it won't change anything in Metrc. Use this feature to keep your product list clean and easy to search without affecting your state reporting. |
